Print Administrator

Reporting to:
Head of Print


To support the Print department and team members with administrative duties

Principle duties

Administration for the print department include:

  • Raise PO’s and place orders with suppliers in a timely manner, or in accordance with the demands of the wider team
  • Match supplier invoices on Focal Point and resolve any queries with pricing if they arise
  • Liaise with suppliers to gain pricing and specifications on materials and/or products when required to do so
  • Raise invoices for projects when required to do so
  • Create project numbers and set up budgets ready for inputting when required to do so
  • Become proficient in using Focal Point to carry out all administration duties
  • Research new suppliers, products, accommodation, travel options, or any project related information that may be needed
  • Work with all other departments within the business to help provide a professional level of service from the Print department

Administration of Brandx and Brand Centre include:

  • Process orders for Brandx and Brand Centre and pack orders ready to be despatched
  • Raise TNT labels for the orders being despatched and track orders to ensure they arrive at the venue, notifying the order contact when they have arrived
  • Liaise with venues to locate items left over from the event and arrange collection with a courier
  • Check returned orders for quality and notify the Brandx/Brand Centre manager if the damage is significant for re-print
  • Book returned orders back into stock
  • Process all stock deliveries, making note of any updates to literature and disposing of old versions as and when required
  • Resolve queries with TNT invoices to make sure deliveries and collections are not being overcharged
  • Co-ordinate re-prints of items through print or external supplier based on damages reported in the daily running of Brandx/Brand Centre and make sure items go back into stock in a timely manner

Assisting with the management of Brandx and Brand Centre include:

  • Assisting the Brandx/brand centre manager with the following:
  • Creation of new items on the website, to include taking photos and uploading these to the relevant website
  • Invoicing of orders at the end of each month
  • Researching for new Brandx/Brand Centre items
  • Carrying out annual stock takes and the reporting of this back to the client
  • Working with the client to make sure they know how to use the online system and liaise with the digital department to put together a training package if required

  • To have excellent administrative skills, work to tight deadlines, good communication skills, attention to detail and a flexible, methodical and logical approach
  • Experience of working with MS Office applications
  • Administrative experience in a similar capacity and industry is desirable

Further notes

The role will be based primarily in our Worcestershire head office and will require regular travel to other office locations. You will be expected to work flexibly and undertake other related commercial duties both in the UK and overseas as the company may from time to time reasonably require.
